White County will be accepting applications for the position of Superior Court Deputy Clerk.  This position is open until filled. JOB SUMMARY:  This position is responsible for processing and filing cases in Superior Court, Probate Court, Magistrate Court, and Juvenile Court.

MAJOR DUTIES:

o   Assists Clerk of Court in court proceedings by entering motions and documents into computer.

o   Prepares default judgments, writ of possession, foreclosures, and court orders.

o   Files civil and criminal documents, lawsuits, claims, garnishments, judgments, writs, foreclosures, court orders, liens, and UCCs.

o   Assists the general public at the counter: assists with researching and copying court records, files documents, provides information on various instruments and cases, and accepts instruments to be recorded.

o   Provides information to the general public at the counter and by telephone regarding court business.

o   Indexes information on real estate cases on the computer, audits data for accuracy, and prints real estate indexes.

o   Assists attorneys and the general public with questions about property deeds; accepts and processes various related legal documents.

o   Records deeds: inspects deeds for accuracy for filing requirements, files and images deeds, enters deed data into the computer, and maintains deed books and indexes.

o   Submits deed and plats images & indexes to the Georgia Superior Court Cooperative Authority (GSCCCA) daily, cross-references deeds, and returns recorded deeds to attorneys and the general public.

o   Forwards writ of possession orders and bench warrants to the Sheriff’s Department.

o   Reports convictions to the Georgia Crime Information Center (GCIC) and Department of Motor Vehicles (DMV).

o   Receives monies for real estate fees, lawsuit filings, and fine payments; balances cash drawer and prepares weekly bank deposits.

o   Posts payments received by Probation Departments to correct accounts.

o   Processes notary public applications; collects fees.

o   Processes trade name registrations.

o   Prepares daily, weekly, monthly, and annual reports.

o   Opens, sorts, and distributes daily office mail.

o   Performs other related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

o   Knowledge of filing, docketing, and indexing systems for deeds, plats, and financing instruments.

o   Knowledge of court system operations and the format of various legal documents to be recorded.

o   Knowledge of legal terminology and required record-keeping and reporting procedures for real estate cases.

o   Knowledge of the state laws and guidelines governing Superior Court, Probate Court, Magistrate Court, and Juvenile Court.

o   Knowledge of modern office practices and procedures.

o   Skill in performing basic mathematical calculations.

o   Skill in operating standard office equipment such as a computer, image scanners, typewriter, facsimile machine, copier, and calculator.

o   Skill in filing and maintaining records.

o   Skill in dealing with the public.

o   Skill in oral and written communication.

SUPERVISORY CONTROLS:  The Clerk of Court assigns work in terms of general instructions.  The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES:  Guidelines include the Official Code of Georgia Annotated, Superior, Probate, Magistrate and Juvenile Uniform Court Rules, and county policies and procedures.  These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY:  The work consists of related clerical duties.  Frequent interruptions and variety of duties contribute to the complexity of the work.

SCOPE AND EFFECT:  The purpose of this position is to maintain complete and up-to-date court records.  Successful performance helps ensure the maintenance of accurate and accessible court records for the county.

PERSONAL CONTACTS:  Contacts are typically with co-workers, other county employees, bank employees, attorneys, real estate personnel, and the general public.

PURPOSE OF CONTACTS:  Contacts are typically to give or exchange information, resolve problems, and provide services.

PHYSICAL DEMANDS:  The work is typically performed while sitting, standing, walking, bending, crouching, or stooping.  The employee frequently lifts light to middle size objects along with occasionally lifts of up to 40 lbs objects. 

WORK ENVIRONMENT:  The work is typically performed in an office or courtroom.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY:  None.

MINIMUM QUALIFICATIONS:

o   Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.

o   Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
