JOB TITLE: Deputy Court Clerk FLSA: Non Exempt

DEPARTMENT: Municipal Court

General Summary:

Under the supervision of the Court Clerk, performs general clerical duties in support of the municipal court, including court document processing the initiation, processing and maintenance of legal documents, correspondence and statistics; and to provide information and assistance to the public. 

Essential Job Functions:

An employee in this position may be called upon to do any or all of the following essential functions. These listed functions are not limited to all of the duties which this employee may be expected to perform.

  • Bilingual Preferred.
  • Answers telephone and greets visitors; provides information and assistance; collects payments and provides documents requested.
  • Assists in the processing of court documents.
  • Electronic transmittal of traffic convictions to DDS.
  • Processes incoming and outgoing mail.
  • Processes and files stamped legal documents
  • Knowledge of court rules and regulations
  • Skill in interpreting complex information and conveying it to others in an accurate, complete, and understandable manner.
  • Knowledge of court rules and regulations.
  • Prepares special court orders required by Municipal Court Judge.
  • Processes citations and other legal documents and maintains accurate case files in accordance with state-mandated retention schedules.
  • Assists with court proceedings involving the preparation of court subpoenas for defendants, victims, witnesses, attorneys, officers, bondsmen, production of evidence; assigns Judge, Solicitors, Court-appointed attorneys, interpreters, court reporters; preparing court calendars for distribution, preparation of proper document in court including: waivers, signatures, court orders, probation orders, time payments, bindovers, indigent forms, first conviction affidavits, bonds, jail orders, etc as assigned.
  • Prepares cases for transfer to Superior or State Court, ensuring that all related documents and bonds are included in the transfer.
  • Attends and assists with court sessions, arraignments and trials, making sure that proper protocols are followed.
  • May act as bailiff or cashier as necessary.
  • Responsible for operating court management software.
  • Provides assistance to the public in person and by phone, including retrieving information and files and providing general information regarding scheduling of court dates, defensive driving, warrants and granting extensions.
  • Performs other duties and responsibilities as assigned.

Required Knowledge, Skills, Abilities and Minimum Qualifications:

  • High school diploma or equivalent. 
  • A valid Georgia driver’s license is required.
  • Must be able to speak, write and understand English.
  • Must be able to abide by City Drug Testing Regulations and Personnel Regulations.
  • Must be capable of using common sense problem solving to deal with situations.
  • Must maintain a neat and clean appearance
  • Knowledge of operations, services and activities of a municipal court program.
  • Ability to compose legal letters and reports.
  • Knowledge of principles and procedure of records management.
  • Knowledge of and skill in modern office methods, practices, procedures and current office technology.
  • Skills on personal computer, Microsoft Office (word processing, spreadsheets, etc.), 10 key calculator, telephone, copy machine, scanner and fax machine.
  • Any combination of experience and training that would provide the required knowledge, skills and abilities would be qualifying.
