The Municipal Court Clerk provides Municipal Court support in the several functions to include collect fines, ensure necessary forms are available at each court date, report convictions, document processing working with court officials and the public. Incumbents are responsible for specialized administrative tasks in the legal acceptance, recording, filing, and reproduction of a wide variety of official court records.

Essential Tasks. Other duties may be assigned and required. 

  • Performs general clerical work as required, including but not limited to greeting and assisting visitors, typing reports and correspondence, entering computer data, copying, and filing documents, receipting payments, and preparing bank deposits.
  • Prepare and organize all legal documents and correspondence in compliance with established municipal court policies and procedures and state laws as required.
  • Receives and responds to public inquires and requests for assistance. 
  • Schedule court dates and re-schedules.
  • Interacts and communicates with various groups and individuals such as correctional officers, law enforcement officers, Solicitor?s Office personnel, other City personnel, attorneys, and the public.
  • Prepare the courtroom for court proceedings.
  • Receives new tickets or citations from law enforcement; enters all required information into the case management program.
  • Multitasks and assumes additional responsibilities as assigned by management.

Knowledge, Skills, & Abilities Required: 

  • Ability to learn and perform administrative/clerical work and functions.
  • Ability to communicate effectively and with proper grammar in written and spoken business English.
  • Ability to learn and operate standard office equipment.
  • Ability to learn and understand court procedures, legal requirements, office policies, etc.
  • Ability to work in a fast-paced team environment and multi-task.
  • Must be able to use Word document, PowerPoint, Publisher, and Excel effectively.

Physical Demands: 

Physical Demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Work is generally performed in an office or courtroom environment during standard business hours. Work outside of these hours may be necessary due to court proceedings. Court is held most Wednesday late afternoon/evening. Work tasks involve periods of standing, sitting and kneeling. Occasionally lifts and carries such items as records and office supplies of moderate weight of up to 20 pounds. While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle controls; and talk and hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand, walk, and stoop. The employee must regularly lift and/or move up to 10 pounds. Specific vision requirements by this job include close vision and the ability to adjust focus.

 

Work Environment: 

  • Work is performed primarily in an office and courtroom setting.
  • Normal business hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. Work outside of these hours may be necessary due to court proceedings.

Minimum Qualifications: 

  • Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent. 
  • Possession of at least intermediate computer software skills, to include proficiency in Microsoft Word, Excel, and PowerPoint. 
  • Ability to adjust schedule to accommodate court schedule. 
  • Ability to speak/understand Spanish is a benefit. 
  • Completion of the Municipal Court Clerk certification; ability to maintain up-to-date certification for duration of employment. 
  • Ability to adjust schedule to accommodate court schedule. 
  • Possession of at least intermediate computer software skills, to include Microsoft Word, Excel, and PowerPoint.
  • Experience with Courtware- Court Software or Cloud Cop RMS a plus!

Special Considerations: 

 

  • Criminal history may disqualify use of state/federal criminal information systems. 
  • Any person who is hired or appointed as a municipal court clerk on or after July 1, 2006, shall satisfactorily complete a minimum of 16 hours of training related to the operation of municipal court as prescribed by the Georgia Municipal Courts Training Council within his or her first year of service as a municipal court clerk. 
  • Each municipal court clerk, regardless of when he or she was hired or appointed, shall complete a minimum of 8 hours of training related to the operation of municipal court as prescribed by the Georgia Municipal Courts Training Council on an annual basis.
