Overview:

Are you detail-oriented, organized, and passionate about managing information? The City of Johns Creek seeks a dynamic and motivated Administrative Assistant to join our team! This vital position will assist the City Clerk in managing and coordinating records for the City, working closely with the City Clerk and serving as a key liaison between the public and City departments.

Key Responsibilities:

  • Records Management: Request, collect, and track records using the City's software, ensuring accuracy and completeness. Redact sensitive information and maintain confidentiality.
  • System Administration: Maintain and manage the City's electronic records management system, including training new users, scanning, indexing files, and monitoring record lifecycles.
  • Compliance and Policy Review: Review and update policies and procedures to ensure compliance with the Freedom of Information Act, Georgia Open Records Act, and Georgia Archives Local Government Records Retention Schedules.
  • Program Development: Along with the City Clerk, develop and coordinate a comprehensive records management program, administer and enforce policies, and propose changes to meet City and technological requirements.
  • Research and Retrieval: Coordinate research and records retrieval for subpoenas, legal discovery, and State Open Records Act requests, ensuring efficient and accurate information delivery.
  • Records Destruction: Oversee monthly and annual records destruction to ensure compliance with retention schedules and open records laws.
  • Administrative Support: Assist the Clerk's Office with mail handling, ordering supplies, setting up meeting rooms, and preparing meeting minutes. Perform limited accounting duties and process invoices for payment.

Qualifications:

Minimum:

  • High school diploma or equivalent.
  • Two (2) years of responsible clerical experience or five (5) years in a fast-paced administrative position.
  • Or an equivalent combination of education, training, and experience.

Preferred:

  • Associate's degree in Information or Records Management, Business Management, or related field.
  • Two (2) years of experience in municipal government or records management.
  • Certification as a Records Management Professional through the Georgia Records Association.
  • Active participation in professional organizations like ARMA and AIIM.

Required Certifications:

  • Obtain a Records Management Professional Certificate within three years of hiring.
  • Attend 12-hour Georgia Mandated Clerks Training within 18 months.

Knowledge, Skills, and Abilities:

  • In-depth knowledge of Georgia Archives Local Government Records Retention Schedules and records management principles.
  • Familiarity with federal, state, and local laws, codes, and regulations.
  • Proficiency in customer service principles and practices.
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills and ability to handle sensitive information with good judgment.
  • Basic mathematical skills and reliable work attendance.
