 Position Summary:

This position is responsible for coordinating sports leagues and tournaments for youth and adults, preparing, and maintaining team rosters, setting up and breaking down of athletic areas, and actively supervising of activity areas. Work is performed under the direction of the Athletic Program Supervisor.

The list of duties, as outlined herein, is intended to be representative of the tasks performed within this classification. The omission of a function does not preclude management from assigning duties not listed herein if such functions are a logical assignment to the position.

Tasks and Responsibilities

  • Provides onsite supervision of sports programs to ensure that schedules and rules are adhered to and address safety issues.
  • Acts as the onsite point person for umpires, scorekeepers, coaches, and parents to managed leagues effectively. 
  • Produces quality work products that meet division standards, including performance evaluations, incident reports, employee relations documentation, lesson plans, flyers, and approved social media postings. 
  • Responsible for lining fields for athletic programs – soccer, baseball, softball, ultimate Frisbee, lacrosse, tackle and flag football. 
  • Participates in the planning, organization, and implementation of sports leagues and tournaments for both youth and adults as assigned. 
  • Demonstrates accountability for delivering quality services and work products as a part of the overall department and Citywide strategic direction, goals, and objectives.
  • Demonstrates a commitment to provide and require quality programming and meet parks and recreation and city goals and objectives through cooperative and collaborative team and individual efforts.
  • Assesses program quality, and develops recommendations, programs, and procedures to provide the most effective and efficient program design to meet program goals and individual patron needs. Administers program surveys to participants.
  • Ensures quality delivery of programs, including offering age-appropriate, innovative, engaging activities incorporating participants’ ideas and input.  
  • Oversees and ensures safety is prioritized and procedures are followed. Effectively conducts emergency procedures at the program location. Inventories and orders program equipment and supplies.
  • Attends professional meetings to stay up to date on GRPA rules and processes.
  • Responsible for submitting work orders for repairs or damaged equipment to supervisor.
  • Demonstrates sound judgment in dealing with program challenges and the ability to make appropriate decisions even under pressure.
  • Demonstrates a positive attitude with both internal and external customers. 
  • Demonstrates effective performance by successfully organizing and managing multiple assignments, projects, and priorities within established deadlines.
  • Provides responsive and timely feedback on the status and progress of work activities to the Recreation Supervisor.
  • Implements programs to meet budget revenue and expenditure goals.
  • Ensures that employees and volunteer coaches are abiding by established guidelines, policies and procedures.
  • Follows all established safety rules, departmental policies, and procedures and carries out oral and written instructions with minimal supervision. 
  • Resolves patron concerns, conflicts, and problems, ensuring that services are provided professionally and safely. 
  • Incorporates environmental safety into the arrangement of space, the storage of equipment and supplies, and the design and implementation of activities.
  • Demonstrates responsible stewardship of the organization’s resources through cost-effective use of program supplies and equipment. Implements all program elements within budgetary parameters.
  • Provides excellent customer service through communication efforts in person, email, and social media and a positive, welcoming interactions and pertinent, appropriate communication related to customer experience at the program, upcoming events/activities, etc.  
  • Oversees and maintains all program equipment and supplies to ensure the safe and effective administration of all program activities.
  • Functions as a cooperative, productive, and willing team member when working with other employees on projects, events, and programs.
  • Proactively applies their strengths to support team and individual efforts toward accomplishing organizational goals and work-related tasks.
  • Develops and maintains positive, professional, collaborative working relationships with partners, other city divisions, and departments as relevant to accomplishing the goals of the City of Decatur and the department.
  • Demonstrates excellent interpersonal and human relations skills to build effective working and team relationships.
  • Works with other city departments and serves on appropriate interdepartmental teams.
  • Assists with staff hiring as assigned. 
  • Participates in actively recruiting volunteers to act as coaches.
  • Contributes to a superior work culture through participation in leadership development and training, management, and technical skills, and provide mentoring to direct reports for professional skill development. 
  • Responds quickly and accurately to requests for information, concerns, and customer complaints.
  • Organizes, maintains and submits administrative records and reports for both personnel and participants including, but not limited to, evaluation forms and incident/accident reports.
  • Maintains confidentiality of sensitive information of children, families, and employees, as well as personnel-related information.
  • Represents the division professionally at community functions, staff meetings, parent conferences, phone calls, and emails. 
  • Responds to all inquiries and complaints or refer to the appropriate person.
  • Effectively manages self through the independent initiation and accomplishment of tasks.
  • Other duties as assigned.

 Qualifications Requirements:

Education and/or Experience:

  • Bachelor’s Degree or higher in Recreation Administration, Sports Management, or related field and two years of related experience or any equivalent combination of education and experience.
  • Three (3) years of experience in the recreation field with management and government (local, state, or federal) experience: or equivalent combination of training and experience which provides the required skills, knowledge, and abilities.  

 Certificates, Licenses, Registrations:

  • Certified Youth Sports Administrator certification is preferred.
  • Possess a valid Georgia Driver’s license (class C) and a satisfactory Motor Vehicle Report (MVR).
  • CPR, First Aid, and Prevent Child Abuse certifications or the ability to obtain within six months is preferred.

 Physical Requirements/Environmental Conditions:

  • Must be able to sit, walk, and stand for long periods.
  • Can lift and carry heavy objects (10-50 lbs.), sit, bend, squat, and twist on daily; must be able to physically operate city vehicle.
  • Can sit for long periods using equipment and computers.
  • Have a personal vehicle to drive for daily business on a mileage reimbursement basis.
  • Can walk and stand outdoors (playgrounds and parks) setting, including the pool while in extreme heat and cold for up to 8 hours daily.
  • Must deal with constant interruptions, noise, and meet with others on a regularly.
  • The employee may be exposed to a variety of extreme weather conditions. Ability to sit, stand, walk, bend, lift, climb and perform repetitive motions on a daily. 
  • Ability to operate computer software, including word processing software; calculator; copy and fax machine; phone; mobile or portable radio.
  • Must be available to work weekdays, weekends, nights, and holidays.
