Utility Clerk Job Description:

The Utility Clerk is responsible for processing customer payments, managing utility accounts, and performing various clerical duties to support the City's utility department. This role involves direct customer interaction, data entry, and communication with internal and external parties .

Utility Duties:

  • Process customer payments through various channels
  • Establish and manage customer accounts
  • Prepare work orders for utility services
  • Communicate with customers regarding service issues and complaints
  • Perform data entry and maintenance for billing and meter information
  • Generate and analyze utility-related reports
  • Handle mail and process deposits for City departments

Court Clerk Job Description:

The Court Clerk is responsible for providing administrative and clerical support to the municipal court, managing court records, and assisting the public with court-related matters. This role involves processing legal documents, handling payments, and ensuring compliance with state and federal regulations.

Court Duties:

  • Fulfill Open Records requests related to municipal court records
  • Provide clerical support, including answering phones and assisting at the front counter
  • Process and prepare legal documents and court forms
  • Accept and process fees and fines
  • Assist various parties with court procedures and case status information
  • Ensure compliance with federal and state laws
  • Prepare and maintain court records and reports

Terminal agency coordinator Job Description:

The Terminal Agency Coordinator (TAC) is responsible for overseeing the agency's compliance with NCIC/GCIC regulations, managing Criminal Justice Information (CJI) handling, and ensuring proper use of criminal justice information systems. This role involves maintaining certifications, conducting validations, and serving as the primary point of contact for GCIC-related matters.

TAC Duties:

  • Manage internal and external department contracts/agreements related to NCIC/GCIC
  • Ensure agency adherence to proper use and handling of Criminal Justice Information (CJI)
  • Implement and maintain GCIC/FBI CJIS validation program procedures
  • Manage GCIC certification records as well as security trainings for agency personnel
  • Validate warrants and GCIC entries
  • Review GCIC bulletins weekly and implement procedural changes as required
  • Conduct criminal history checks for case files and other authorized requests
  • Utilize GCIC/NCIC for criminal background checks for various permits and investigations

Minimum Qualifications:

  • High school diploma, or GED
  • Clerical experience.
  • Strong organizational and communication skills.
  • Ability to multitask and prioritize.
  • Attention to detail
  • Proficiency in MS Office and general office equipment.
  • Demonstrate a high level of professionalism, initiative, resourcefulness, and personal accountability to represent the City of Warm Springs
