GENERAL NATURE OF WORK

This position is responsible for the financial records and all accounting functions of the City of Blue Ridge.  The position is also the assistant payroll clerk and performs payroll duties if the clerk is absent. 

EXAMPLES OF WORK

The following examples are illustrative of the duties assigned to this position.  No attempt is made to be exhaustive in this listing.

  • Process accounts payable including matching all purchase orders and invoices for payment, writing and mailing of all checks, and filing and maintenance of vendor files.
  • Performing monthly bank account reconciliations.
  • Preparation of the annual budget including all projections and estimates and the budget document for distribution to Mayor and Council and any other interested party.
  • Preparation of all budget amendments necessary during the year.
  • Preparation of the annual financial statements including all account adjustments and preparing all documents for the auditor’s review
  • Monitoring of the general ledger including monthly review of all funds, making any necessary adjustments and preparing quarterly reports for the Mayor and Council.
  • Assist in payroll functions including making bank transfers, recording payroll transactions in the general ledger and reconciling withheld amounts to expenditure invoices.  If the payroll clerk is absent, preparation of bi-weekly payroll is performed with includes checking all time sheets and exporting files for electronic payment.
  • Monitoring all grants including reviewing draw downs and quarterly reports prepared by grant administrators and any other grant coordination required such as maintaining check and invoice copies, expense summaries, and getting contracts signed.
  • Preparation of annual 1099’s.
