JOB SUMMARY:
This position provides support for the DUI Court Coordinator in the day-to-day operations of the DUI Court Program. This position is responsible for the tracking of participant progress, data collection, data dissemination, and accurate and timely maintenance of all spreadsheets. This position will prepare, update, and maintain participant files, as well as maintain databases and tracking systems for the DUI Court Program. An acute attention to detail and ability to work in a fast-paced environment with high expectations are essential, maintaining confidentiality of all offenders and office information as required by federal law.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Provides support to the DUI Court Coordinator
Prepares weekly bank deposits per Treatment Services accounting policy
Processes weekly participants’ payments and creates monthly invoices
Creates participants files in ADE and hard copy form upon their program entry
Schedules drug screens in TestDay program; reports missed screens to the Coordinator; enters positive screens in ADE
Attends all DUI Court staffings and court sessions
Prepares all orientation paperwork on Friday prior to scheduled orientations
Oversees job search for clients on Tuesday and Thursday mornings
Obtains necessary information from treatment providers and Probation Services for the maintenance of accurate, up-to-date records
Checks all participants in CJIS for warrants, new charges, and jail release on Wednesday morning before court
Maintains home visit spreadsheet so community policing officers have the most current information
Attends revocation hearings in Coordinator’s absence
Prepares phase move certificates, incentive drawings, court sign-in sheet, etc. for court
Maintains confidentiality of all offenders and office information as required by federal rule
Checks participant attendance prior to court
Serves as initial point of contact for all participant calls and office visits (medication approvals, address changes, leave requests, etc.); keeps Coordinator informed of such information
Updates ADE with program violations, sanctions, incentives, phase moves, etc.
Conducts program orientation with participants in Coordinator’s absence
Regular and predictable attendance is required
Other duties as assigned
Court Administration: Provides administrative support to the DUI Court Coordinator who is charged with orchestrating multi-faceted services required to ensure maximum efficiency of DUI Court Program operations. Maintains open line of communication between probation, prosecution, judiciary, defense attorneys, treatment providers, and DUI Court team to ensure accurate documentation.
Case Flow Management: Creates and maintains accurate files on all participants referred to the DUI Court Program. Tracks all involved participants from beginning involvement to completion or termination accurately. Maintains a high level of confidentiality in the office as per federal laws and regulations.
Fiscal Responsibility: Responsible for maintenance of drug screen fees in the DUI Court Program, under the supervision of the DUI Court Coordinator.
Supervisory Controls: Incumbent must perform duties without extensive supervision. Work is assigned in general terms, requiring the incumbent to determine the process by which the work should be completed. Adheres to standing instructions of the DUI Court Coordinator.
Complexity: The work ranges from low to medium level tasks to providing complex, extensive, and professional work for DUI Court. In addition, the work of this position involves performing various administrative and accounting duties. A high degree of time management skills are necessary.
Scope and Effect: The purpose of the work is to perform various clerical, administrative, fiscal, and low-level duties needed to provide multi-faceted support to the Coordinator. The work product or service provided by the incumbent affects the accuracy, reliability, or acceptability of further services of DUI Court. Successful implementation of the work can result in the continuance of funding. Errors in this area will be problematic in relation to continued funding and the ability of the DUI Court to successfully change the way that the criminal justice system deals with offenders with a substance related problem.
Personal Contacts: Contacts are typically with coworkers, staffs of State Court judges, Solicitor-General, Probation Services, treatment providers, County agencies, and the general public.

Minimum Qualifications:
Education and Experience:
A Bachelor’s degree in Criminal Justice, Public Relations, Marketing, Business Administration, Psychology, or related field is preferred.
Experiential requirements include two years of case management and knowledge of the criminal justice population, and any combination of education and experience that provides the required knowledge and skills. A background in or understanding of addictions counseling is preferred.
Knowledge, Skills and Abilities:
General knowledge of County organizational structure and Treatment Services operations.
Demonstrated proficiency in oral and written communications.
Extensive experience and skill in developing effective working relationships with other departments and the general public.
Demonstrated skill in developing and maintaining positive customer relations.
Extensive skill in operating a personal computer, various software applications, Internet, and multimedia programs.
ADA Minimum Qualifications:
Physical Ability: Although the physical demands are not stringent, incumbent must be capable of receiving and delivering supplies to the office.
Environmental Factors: Work is primarily performed in an office setting, though there will be time spent in court.
