JOB SUMMARY:

 

Provides administrative clerical assistance and support to the Hall County Jail Division.  Maintains accurate confidential records regarding incident reports, arrests and court activities.  Also, assists the public with problems and questions; maintains all re-cords related to the court system.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

 

Provides requested information to officers and the public by telephone and in person; types and answers written requests for information.

 

Prepares and types the court calendar and appropriate forms for cases transferred to higher courts; disseminates required informa­tion for the transfer.

 

Types and maintains various reports, records, cards, lists, bonds, warrants and logs pertinent to the law enforcement administration.

 

Arranges and files incident and accident reports and arrest booking by date, time and case number.  Maintains other filing systems by cross-indexing documents and correspondence alphabetically, numerically or by any other established classification.   Enters incident reports and citations, DUI results and driver's license suspensions into computer.

 

Receives fine payments from court and cash bonds for traffic citations and prepares receipts; balances receipts against cash register and prepares deposits; requests refunds for cash bonds and bond forfeitures.

 

Copies accident report and disseminates to appropriate agen­cies/ parties; maintains daily chart of accident reports and injuries.

 

Researches criminal histories and driver's histories for pertinent 

Information; checks tag numbers, vehicle identification numbers, serial numbers and checks warrants.

 

Maintains case cards and documents with disposition and court sentences.

Prepares bench warrants for individuals who do not show for court.

 

Codes, types and disseminates appropriate information and reports relevant to the departments established operations, procedures and policies.

 

Types and serves subpoenas to law enforcement personnel for appearance in Court.

 

Prepares, serves and collects bond forfeitures from court.

 

Receives, sorts and routes incoming mail; sorts and distributes criminal bonds and arrest booking reports to various courts.

 

May assist the department dispatcher or other clerical personnel as needed.

 

Regular and predictable attendance is required.

 

Performs other related work as required.

MINIMUM QUALIFICATIONS REQUIRED:

 

Education and Experience:

 

High school diploma or G.E.D.

 

Two years general clerical experience.

 

Any equivalent combination of education and experience which provides the minimum level of qualifications stated above.

 

Licenses and Certifications:

 

None.

 

Knowledge, Skill and Abilities:

 

Knowledge of general office and law enforcement terminology and procedures to include business arithmetic and English.

 

Knowledge of dissemination laws as prescribed by federal and state statutes.

 

Knowledge of state, county, city and departmental personnel rules, regulations, procedures and forms in order to provide accurate and complete information in the correct manner and format.

 

Knowledge of federal regulations governing the release of informa­tion (Privacy Act).

 

Skill in typing, filing and indexing materials with speed and accu-racy.

 

Ability to make relatively complex mathematical computations with speed and accuracy.

 

Skill in operating modern office equipment to include accessing a computer for specific information.

 

Ability to type 20 w.p.m., or as an alternative: computer experi­ence and bilingual in Spanish and English.

 

Ability to understand and follow oral and written instructions.

 

Ability to exercise tact and courtesy in dealing with the general public and law enforcement personnel.

 

 

ADA Minimum Qualifications:

 

Physical Ability: Essential functions of this position continuously require the ability to remain in a stationary position (sitting or standing); operate a computer and other office machinery, such as a calculator, copier, and printer. Incumbents must continuously be able to think analytically; handle stress and emotion, concentrate on tasks, remember names and other details; examine and observe details; make decisions, and adjust to change. Incumbents must also continuously direct others; meet deadlines; stay organized; use math/calculations and use a keyboard/type.

 

Essential Functions frequently require the ability to move about inside the office; and move/transport items up to 10lbs.

 

Essential functions occasionally require the ability to bend body downward and forward by bending spine and legs, and twisting at the waist, hips or knees; reach overhead; push or pull; and repetitively use hands/arms/legs. Incumbents in this position are occasionally required to be on-call and work irregular hours. 

 

Sensory Requirements: Essential functions regularly require the ability to use effective verbal and written communication; and use of hand/eye coordination and fine manipulation to use equipment.

 

 

Environmental Factors: Essential functions of this position continuously require the ability to either work with others or work alone.
