SUMMARY

The City of Cordele, located on Interstate 75 and served by three exits leading to exceptional commercial, recreational and healthcare facilities, is actively searching for a Deputy Muncipal Court Clerk to join our diverse and growing team.  The incumbent will demonstrate honesty and integrity along with dedicating themselves to lending unparalleled customer service and professionalism.

This position provides clerical, administrative, and customer service support for Municipal Court operations. 

MAJOR DUTIES

•    Assists attorneys, other court personnel, and the general public; answers telephone and greets visitors; provides information and assistance.

•    Imports citations from court and law enforcement software to prepare court dockets for Judge, court, Public Defender, Solicitor, and Probation Department.

•    Prepares the court docket; sorts citations by name and court date; runs driver and criminal histories as needed; researches and identifies warrants and offense status.

•    Performs courtroom duties, including calling cases before the Judge, swearing witnesses, and noting dispositions on required documents.

•    Provides discovery to attorneys; makes copies of citations, reports, videos, etc.

•    Adds dispositions to court cases following court.

•    Sends Failure to Appear Notices as appropriate.

•    Prepares bench warrants for the Judge’s signature.

•    Prepares reschedule notices.

•    Sends subpoenas to officers needed for court.

•    Enters probation payments monthly.

•    Performs related duties.

KNOWLEDGE REQUIRED BY THE POSITION

•    Knowledge of Municipal Court policies, procedures, and guidelines.

•    Knowledge of judicial record keeping practices and procedures.

•    Knowledge of relevant local, state, and federal laws.

•    Knowledge of open records laws.

•    Knowledge of basic bookkeeping principles.

•    Knowledge of computers and job-related software programs.

•    Skill in the provision of customer services.

•    Skill in problem solving.

•    Skill in prioritizing and planning.

•    Skill in interpersonal relations.

•    Skill in oral and written communication.

SUPERVISORY CONTROLS

The Chief Municipal Court Clerk assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include state laws, city ordinances, GCIC rules, and city and department policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.  

COMPLEXITY/SCOPE OF WORK

•    The work consists of related clerical and administrative duties. Frequent interruptions and the need for accuracy contributes to the complexity of the position.

•    The purpose of this position is to provide clerical, administrative, and customer service support for the day-to-day operations of the Municipal Court. Success in this position contributes to the efficiency and effectiveness of court operations.

•    Contacts are typically with co workers, other city personnel, attorneys, law enforcement personnel, other court personnel, and members of the general public.

•    Contacts are typically to give or exchange information, to resolve problems, and to provide services.

PHYSICAL DEMANDS/WORK ENVIRONMENT

•    The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.

•    The work is typically performed in an office or courtroom.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

•    Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.

•    Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

•    Possession of or ability to readily obtain GCIC certification.
