JOB SUMMARY:

This position acts as a support to the Public Works Division on matters relating to customer service, work order request, right of way permits, and inquiries and complaints for the City of Covington. 

MAJOR DUTIES:

•    Performs a wide variety of assignments and operates a personal computer to enter data, draft, revise, and print letters, tables, reports, and other materials.
•    Maintains confidentiality of correspondence, discussions, meetings and telephone calls.
•    Answers questions from the general public regarding customer complaints, transportation, utility locates, solid waste stormwater, and general community information; acts as first point of contact for the department and phone coverage and assists departmental employees and public works director, transportation manager a needed.
•    Assists in preparation and completion of permitting process for right of way encroachment and other applications and requests.
•    Maintains effective working relationships with the general public, property owners, developers, architects, and contractors.
•    Maintains records for department including digitizing, organizing, archiving and filing of   records.
•    Types correspondence, memoranda, agendas, minutes, reports, forms, and records and checks data; maintains office correspondence.
•    Supports the department when needed by scheduling and tracking work orders and completing service request in BSA.
•    Compiles data for open records requests, state and federal reports.
•    Maintains office supplies and forms; completes requisitions for purchases.
•    Provides back-up assistance to other administrative staff and other staff as needed.
•    Manages the Public Works accreditation program – this is an ongoing function of the job. Every four years Public Works goes through a recertification process for accreditation. The division achieved initial accreditation in 2006. The next recertification is in May 2022. Must be able to work with all managers within the Public Works Division. This is a critical aspect of the position. 
•    Perform other duties as assigned or required.

MINIMUM QUALIFICATIONS

Education and Experience: 

•    Graduation from a high school or GED equivalent.
•    Two (2) years of increasingly responsible related experience with a concentration in office management, customer service or related field.

NECESSARY KNOWLEDGE, SKILLS AND ABILITIES: 

•    Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures;
•    Skill in operation of listed tools and equipment.
•    Ability to effectively meet and deal with the public;
•    Ability to communicate effectively verbally and in writing;
•    Ability to handle stressful situations;
•    Ability to learn assigned tasks readily and to adhere to prescribed routines;
•    Ability to plan work so as to accomplish timely and accurate results;
•    Ability to establish and maintain effective working relationships with other employees, supervisors, and other department personnel. 

TOOLS AND EQUIPMENT USED

•    Computer hardware, particularly desktop/laptop personal computer, printer, scanner.
•    Computer software including Microsoft Office Suite (Word, Excel, PowerPoint) and other software. 
•    Maps, plats and site plans.
