Job Title: Receptionist/Administrative Assistant       City Clerk Dept.

 FLSA: NE          SALARY RANGE: $15.09  - $23.40


Job Summary: This position is responsible for a wide variety of routine clerical and administrative duties including greeting the public, taking, referring, and handling incoming messages; maintaining manual and computer files; and other projects and duties as assigned. 

Major Duties:


  • Greets visitors and receives and responds to inquiries in person and on the telephone; directs visitors/callers to appropriate person or department.
  • Assists citizens and customers with general questions regarding the City departments, taxes, driving instructions to City buildings, and department telephone numbers.
  • Provide clerical assistance to other administrative departments within City Hall, including mailing and data input of payments made to the City.
  • Assists in the preparations for agenda meetings and council meetings which would include errands and pick-up of food for meetings.
  • Maintains various databases.
  • May on occasion be required to attend night meetings.
  • On occasion, may serve as recording secretary for various commissions and committees.
  • Types correspondence, reports and other documents as required.
  • Assists with issuance of various City permits.
  • Performs other related duties as required.


Knowledge/Skills/Abilities Required by the Position:


  • Knowledge of all City departments, their functions, and contact information.
  • Knowledge of departmental policies and procedures.
  • Must exercise exceptional inter-personal skills.
  • Skill in operating modern office equipment.
  • Skill in oral and written communications.
  • Ability to handle confidential information.
  • Ability to exercise good judgment in the dissemination of information which could have a negative impact on City officials, employees, operations and/or performance.
  • Ability to handle multiple interruptions and adjustments to priorities throughout the day.


Receptionist/Administrative Assistant Cont.


  • Ability to use discretion when dealing with the public.
  • Ability to use tact and courteousness in dealing with the general public in person or by phone, as well as employees of the various City departments in all types of contacts arising during daily work activities.
  • Ability to communicate clearly and concisely both oral and written.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to understand and carry out oral and written instructions.


Supervisory Controls:  Work is completed generally under the supervision of the City Clerk but will also be required to take direction from other administrative department heads in coordination with the City Clerk.                       


Guidelines:  Guidelines include City and departmental rules and regulations, and city ordinances, policies and procedures. These guidelines are generally clear and specific, but may require some interpretation.


Complexity:  The work consists of a variety of administrative and clerical duties.


Scope and Effect: The purpose of this position is to support the efficient operation of the department and City through coordination of a wide variety of administrative and clerical duties. 


Personal Contacts: Contacts are typically with co-workers, vendors, other City employees and the general public.


Purpose of Contacts: Contacts are typically to give and exchange information and provide services.


Physical Demands: The work is typically performed with the employee sitting at a desk.  The employee uses tools or equipment requiring dexterity.


Work Environment:  The work is typically performed in an office.


Supervisory and Management Responsibility:  None. 

Minimum Qualifications:

High School diploma or GED; two (2) years experience in a general office environment, with experience in customer service and knowledge of computer applications; equivalent combination of education and experience.
