Administrative Assistant

Under general supervision, the Administrative Assistant is expected to perform duties relating to general administration of the City. The Administrative Assistant will work closely with the City Administrator, City Clerk, and other departments as needed. This position will perform a variety of customer service, clerical, and specialized work involved in receiving and reviewing building, electrical, plumbing, and related permit applications; processes sign requests; and provides routine permit-related information concerning building permit requirements, codes, ordinances, and inspection procedures. This position also assists with other aspects to include the processing of occupational tax certificates and general office duties. The Administrative Assistant performs a variety of clerical, recordkeeping, and customer service tasks to assist with the smooth operation at City Hall. 

Essential Duties and Functions:

  • Greets and directs community members 
  • Makes appointments and referrals
  • Answers phone calls and emails
  • Performs data entry and filing tasks 
  • Receives, records, and distributes packages and mail

Skills and Abilities:

  • Ability to greet community members in a friendly and courteous manner
  • Ability to type at least 50 wpm
  • Ability to proofread
  • Proficient in Microsoft Office Suite or similar software
  • Basic understanding of office equipment
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently and identify and solve problems
  • Ability to organize and prioritize work
