This position serves as the department's Terminal Agency Coordinator, front office receptionist, assistant city court clerk and administrative assistant to the Office of Professional Standards (OPS). 


  • Enters and monitors data in the Georgia Crime Information Center (GCIC) database.
  • Reviews computer data for outstanding warrants; responds to records requests in accordance with GCIC and National Crime Information Center (NCIC) policies and guidelines.
  • Obtains and maintains Terminal Agency Coordinator certification and ensures that all department personnel obtain appropriate GCIC certification.
  • Retrieves, validates, processes, and updates various records utilizing the computer database; performs periodic validation checks for the GCIC.
  • Conducts criminal record checks for job applicants and other individuals as requested.
  • Greets visitors and answers telephone; provides information and assistance; takes messages; makes appointments; refers to appropriate personnel.
  • Attends and performs court clerk duties in the absence of the Chief Court Clerk.
  • Assists with general city court duties; enter dispositions in GCIC, process warrants, prepare/distribute court dockets, issues subpoenas for court, prepare monthly court reports, submits UTCs and FTAs, etc. 
  • Assists OPS personnel with scanning, recording and maintaining OPS logs and records.
  • Retrieves police and incident reports for law enforcement personnel or agencies, victims, and the general public.
  • Reviews department payroll to ensure accuracy.
  • Performs other assigned duties. 


  •  Knowledge of records management principles and practices.
  • Knowledge of computers and job-related software programs.
  • Knowledge of customer service principles and practices.
  • Knowledge of criminal and civil processes.
  • Knowledge of GCIC and NCIC policies and procedures.
  • Skill in the analysis of problems and the development and implementation of solutions.
  • Skill in the preparation of clear and precise administrative reports.
  • Skill in oral and written communication.


The Lieutenant assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with instructions, accuracy, and the nature and propriety of the final results. Indirect report to the Office of Professional Standards. 


Guidelines include GCIC and NCIC policies and procedures, the Georgia Annotated Code, and city and department policies and procedures. These guidelines require judgment, selection, and interpretation in application.                                                                        


  • The work consists of related administrative and technical duties. Frequent interruptions contribute to the complexity of the position.
  • The purpose of this position is to serve as the department's Terminal Agency Coordinator, front office receptionist, assistant court clerk and assistant to the Office of Professional Standards. Success in this position contributes to the efficiency and effectiveness of department operations. 


  • Contacts are typically with co-workers, probation officers, parole officers, representatives of other law enforcement agencies, officers of the court, and members of the general public.
  • Contacts are typically to provide services, to give or exchange information, or to resolve problems. 


  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.
  • The work is typically performed in an office. 




  • Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated and possession of a motor vehicle record insurable under the city’s insurance plan.
  • Possession of or ability to readily obtain a State of Georgia certification as a Municipal Court Clerk.
  • Possession of or ability to readily obtain GCIC/NCIC certification as a Terminal Agency Coordinator (TAC).
