JOB SUMMARY

This position is responsible for assisting with maintenance of the city’s billing records and accounts, cash receipting and customer service. There may be work projects that need to be produced in a timely manner and other office tasks as deemed necessary.

 

ESSENTIAL JOB FUNCTIONS

  • Assist with processing customer’s utility payments and other revenue. Maintain and balance a cash drawer.
  • Assists customers with basic questions and service requests regarding utility accounts.
  • Issue yard sale and seasonal waterfowl permits.
  • Makes copies, collate, and prepare binders and reports as necessary.
  • Perform data entry filing when required.
  • Prepares cash and check payment totals for the daily bank deposit.
  • Provides reception services at city hall by operating and maintaining a multi-line switchboard; answering and routing calls, taking messages and answering questions.
  • Scans check deposits through the online banking.
  • Sort and distribute mail to proper department.
  • Sort and file invoices and correspondence.
  • Type various correspondence letters using common business formats, print envelopes, labels, and memoranda as directed.
  • Provides assistance and back up to the Billing Coordinator position.
  • Performs other related duties as assigned.

 

QUALIFICATIONS

 

Minimum Education and Experience:

High School diploma or equivalent and two (2) years of related experience, or equivalent combination of education and experience.

 

 

Required Licenses or Certifications:

Valid Driver’s License

Knowledge, Skills and Abilities:   

  • Knowledge of modern office practices and procedures.
  • Knowledge of computer/word processing date input procedures.
  • Skill in operating office equipment such as a multi-line switchboard, computer, calculator, copier, and facsimile machine.
  • Skill in record keeping, organization and maintenance of City files.
  • Skill in oral and written communications.
  • Ability to provide excellent customer service to the public and co-workers.
  • Ability to learn assigned clerical tasks readily and within a reasonable training period, and to adhere to prescribed departmental procedures.
  • Ability to read a variety of informational, technical, financial and administrative documentations, directions, instructions, and methods and procedures.
  • Ability to write reports and essays with proper format, punctuation, spelling, and grammar using all parts of speech.
  • Ability to speak with and before others with poise, voice control, and confidence using correct English and well-modulated voice.
  • Ability to operate a variety of automated office equipment including computer, printer, photocopier, calculator and telephone.
  • Ability to establish and maintain effective working relationships with other employees, departments, government officials, and the public.
  • Knowledge of utility bill processing methods.

 

PHYSICAL DEMANDS

Must have sufficient physical ability and mobility to work in an office setting and in a field environment; to stand or sit for prolonged periods of time; occasionally stoop, bend, kneel, crouch, reach and twist; be able to lift, carry, push, and/or pull light (5lbs) to moderate (50lbs) amounts of weight; be able to walk up and down flights of stairs; have close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. Must have hearing ability sufficient to understand general in-person and telephone conversations; while performing the duties of this position, the employee is regularly required to talk or hear; is frequently required to stand, walk, use hands to handle or feel, and reach with hands and arms.

 

WORK ENVIRONMENT

Work will typically be performed inside in an office.
