POSITION TITLE:              ADMINISTRATIVE ASSISTANT

REPORTS TO:                     COUNTY MANAGER

JOB SUMMARY

This position provides Administrative Assistance to the Building/Zoning Director and the County Commissioners Office and performs clerical and customer service duties, as assigned by the County Manager.

MAJOR DUTIES

  • Operates a multi-line telephone system; relays incoming and outgoing calls; directs calls to the appropriate personnel.
  • Copies, scans, and files documents.
  • Shared responsibility for maintaining office supply inventory; reorders as needed.
  • Picks up and properly distributes daily incoming and outgoing mail.
  • Assist in preparing daily bank deposits.
  • Responsible for collecting accounts receivable and issuing all receipts
  • Responsible for assisting customers with business license , including beer, wine & liquor.
  • Responsible for preparation and issuance of purchase orders (for approval)
  • Represents County Clerk in his/her absence
  • Cross training: County Clerk and all other areas in County Commission Office
  • Secretary to Building/Zoning Director—Responsible for assisting customers with Building/Zoning Permits, filing, attending all Planning and Zoning Meetings, and taking official meeting minutes.
  • Responsible for filing of Building & Zoning documents
  • Attend training seminars that are directly linked to your job functions or position
  • Performs other duties as assigned and directed by the County Manager

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of general office practices.
  • Knowledge of customer service principles.
  • Skill in the use of a multi-line telephone.
  • Skill in maintaining files and records.
  • Skill in the use of computers and job-related office equipment.
  • Skill in oral and written communication.
  • Skill in interpersonal relations.

SUPERVISORY CONTROLS

  • The County Clerk assigns work in terms of somewhat general instructions. The County Manager reviews work through reports and observation.

COMPLEXITY/SCOPE OF WORK

  • The work consists of related clerical and customer service duties.  Frequent interruptions contribute to the complexity of the work.
  • The purpose of this position is to provide customer service and clerical support for office operations. Successful performance contributes to the efficiency and effectiveness of those operations.

CONTACTS

  • Contacts are typically with co-workers, other county employees, representatives of external organizations and the general public.
  • Contacts are typically to give and exchange information and provide services.

PHYSICAL DEMANDS/WORK ENVIRONMENT

  • The work is typically performed while sitting at a desk or table or intermittently sitting, standing, or stooping. The employee occasionally lifts lights objects.
  • The work is typically performed in an office.

MINIMUM QUALIFICATIONS

  • High School Diploma or equivalent.
  • Formal training in office administration desired.
  • Cooperative attitude, physical skills to perform essential duties.
